Studio Policies
Please read carefully. Booking with us means you have read and agreed to the policies below.
Deposits
To book an appointment we require a $200 + tax ($226) deposit, sent by e-transfer.
⚠ Please read the following information carefully. Headrush is not at fault if you do not read and acknowledge the information below.
How to send your deposit
In the comment section of your e-transfer, please include:
- •Artist’s name
- •Appointment date and time
- •Your phone number
We get many deposits — this helps us stay organized so we know which artist the deposit is for and for what appointment.
If your partner, parent, friend, etc. is sending a deposit on your behalf, please have them put your name in the comment section.
Timing
We ask that you send the deposit within 2 hours. When we receive the deposit, we will book you in. Please let us know once you have sent it.
We understand this is a lot of information and steps — however, it helps us run things efficiently with fewer mistakes for our clients and artists.
Cancellations & Rescheduling
Deposits are non-refundable.
If you need to cancel 7 or more days prior to your appointment, your deposit will be available toward:
- •Your next booked appointment, or
- •A gift certificate
⚠ If you cancel or reschedule with less than 7 days notice, you will forfeit your deposit.
Why we have this policy
The artist and the shop book your appointment spot specifically for you. When you cancel with short notice, this affects the artist’s time and the shop’s.
The artist works hard to prepare your design for your appointment, and it can also be difficult to fill the cancellation spot on short notice. Your deposit goes toward the artist who has lost their valuable time, along with the artwork that has gone to waste.
Refunds
Headrush does not give cash refunds under any circumstances.
Age & ID Requirement
- •18+ for all tattoos — no exceptions, regardless of parental consent.
- •18+ for most piercings. Select piercings (lobes, nose) may be done at 16+ with a parent or legal guardian physically present.
- •Government-issued photo ID is required at every appointment, including consultations. No ID, no service.
Conduct in the Studio
- •Arrive sober. No drugs or alcohol before or during your session. If you appear under the influence, the session will be cancelled and your deposit forfeited.
- •One guest maximum. Studio space is limited and we want to keep the focus on the artist’s work.
- •No unattended children. If you bring a child, they must remain with a supervising adult at all times.
- •No pets. Certified service animals are welcome.
- •Please respect the studio space, other clients, and the artists. We reserve the right to refuse service.
Final Design Approval
You are responsible for approving your tattoo before you leave the studio. Once you walk out the door, the tattoo is considered complete and final.
If you have concerns about the design, placement, line work, or any other aspect of the work, please voice them before the session ends. We are happy to address valid concerns in real time. We cannot make changes on a complimentary basis after you have left.
Aftercare & Responsibility
From the moment your artist applies the bandage at the end of your session, the tattoo is in your hands.
Detailed aftercare instructions are provided verbally by your artist and available online at /care/tattoo and /care/piercing.
If your tattoo or piercing is damaged due to scratching, picking, infection from improper aftercare, sun exposure, or any other form of negligence after leaving the studio — the studio is not responsible. Touch-ups required due to self-inflicted damage will be billed at your expense.
Touch-Ups
We offer free touch-ups for healing-related issues at the studio’s discretion. To qualify, you must provide proof of proper aftercare (photos, healing timeline).
The following do NOT qualify for a complimentary touch-up:
- •Hand, finger, foot, and face tattoos — these areas do not heal predictably
- •Damage caused by failure to follow aftercare instructions
- •Touch-ups requested due to changed personal taste or design preference
- •Concerns that were not raised before leaving the studio at the original session
Custom Artwork
- •All custom designs created by your artist remain the artist’s intellectual property.
- •We do not reproduce other artists’ work. Bring inspiration, not copies.
- •Reference photos help — but expect creative interpretation tailored to your anatomy, not exact replicas.
- •Major design changes after the consultation may require an additional design fee.
Photography & Social Media
- •We may photograph your tattoo or piercing for our portfolio, website, and Instagram.
- •Faces or identifying features will not be included without your verbal consent.
- •If you’d prefer no photos at all, please tell your artist before the session begins.
- •All photos taken by the studio remain property of HeadRush Whitby.
